Summary of Roles

The objective of the Trading Committee is run BHHHC Trading Limited, whose purpose is to act as a commercial company generating revenue from and maintaining the club assets, the most significant of which are the astro and grass pitches, the clubhouse and the car park.BHHHC Trading Limited is wholly owned by the Club and all profits are donated back to the Club.

Members of the Executive Committee must declare that they satisfy HMRC's "fit and proper person test" prior to be being elected.

Members of the Executive Committee are registered as Directors of the BHHHC (Trading) Limited Company
with Companies House.

There must be between 2 and 5 people on the Trading Committee, including up to 3 independent directors.

Commercial Director
Expected to be the same person as Commercial Director on the Executive Committee. Responsible for:

  • Managing and keeping a proper record of all income and expenditure, including banking arrangements and ensuring monies due are paid in a timely manner.
  • Management of all commercial aspects including relevant employees of the club, grounds, bar, asset coordinator.
  • Where possible, negotiate the best deals on any current and upcoming ‘fixed’ costs.
  • Make sure financial reports are available to and understood at Trading Company meetings to enable directors to take informed financial decisions.
  • Produce and communicate contracts for rental agreements to relevant parties.
  • Produce a quarterly report for the club company directors’ meeting.
  • Produce an annual report to be submitted to the Club Company Finance Director
  • Managing legal requirements such as taxation
  • Financial planning, budgeting and monitoring throughout the year

Operations Director
Responsible for:

  • Ensuring that astro maintenance and operation are in compliance with Operations and Maintenance Manual and astro planning consent including Community Use Agreement.
  • Maintaining astro Operations and Maintenance Manual including construction and maintenance records.
  • Maintaining and enforcing BHHHC Astro Rules and Usage Procedures for hockey and external users. Annual review of Fire Safety Log Book and Health & Safety Risk assessments.
  • Managing ChargePoint EV charger including annual review of astro hire and EV charger rates.
  • Negotiating and maintaining BHHHC Property and Vehicle insurance.
  • Negotiating and managing astro maintenance contracts.
  • Negotiating and coordinating astro bookings by hockey and external parties and timely invoicing.
  • Completing annual astro hire rates review with recommendation to BHHHC (Trading) for changes in annual hire rates. Establishing annual astro operating budget including maintenance costs and hire income from hockey and external parties.

Secretary
Responsible for:

  • Ensuring legal compliance of BHHHC(Trading) activities by providing support to the management of the trading operation.
  • Ideally, someone with facility operation catering or bar experience.
  • The role provides oversight of the trading operation.
  • If no candidate(s) stand for this roles, the duties can be added to other director's roles, so long as there are a minimum of 2 directors.
